ROS: Submit annual reports before Dec 31

KOTA KINABALU: The Registrar of Societies (ROS) Sabah has reminded over 3,000 registered associations and organisations to submit their annual reports before Dec 31 this year.Its Director Matthew Anak Dominic Barin said the report must include their annual general meeting (AGM) statement, list of main committee members, financial statement and minutes of meeting using its online system known as e-Roses or alternatively surf www.eroses.gov.my.

He said the agency under the Home Ministry started the online system in February last year, although it was launched in July 2012 with the purpose of facilitating their clients, in terms of not having to come over to the office with bundles of documents.

"We have issued notices of reminders to 3.270 associations registered with us to submit their respective annual reports using e-Roses before end of this month.

"So far, over 1,000 associations have responded to our notices that complied with the requirement but the remaining ones have yet to do so.

"Failing to submit the annual reports could lead to de-registration of the associations after issuance of warnings and show cause letters," he said.

Matthew said this to reporters after presenting grants totaling RM60,000 to six residents' associations with each receiving RM10,000 at the ROS headquarters office in Menara MAA here on Friday.

The six recipients are Kg. Gentuong, Kota Belud Residents' Association, Kg.Danat, Tamparuli Residents' Associations, Kg.Imahit, Tenom Residents' Association, Taman Permata, Menggatal Residents' Associations, Taman Kingfisher Sulaman, Phase 4 Residents Association and Villa Luyang House Owners and Residents Association.

The main committees will be using the grants to provide security features and enhance security level in their respective residential areas like installing closed-circuit television (CCTVs), auto gate system, bicycles for patrolling and walkie-talkie system.

To a question, he said political parties are exempted from the process as they will be submitting their own annual reports and statement to the ROS headquarters in Kuala Lumpur.

On distribution of the grants, Matthew said the ministry was giving the grant to residents' associations for the purpose of improving their security features for crime prevention.

He said the distribution of the grants is not an annual programme, as it would depend on the ministry's allocations.

"Last year, a total of 31 residents' associations received the grants totaling RM301,687 whereby each association received between RM8,000 and RM10,000 for the same purposes.

"But for this year, seven associations applied but only six were selected as the application of one association was rejected due to incomplete information," he said.

Matthew said the associations are given six months to spend the grants and put up the security features that they applied for.

He said ROS will do the inspection after six months to ensure the grants are wisely spent by the main committees.
